How to Send Documents and E-Signature Emails from Your Outlook Account

Connect your Microsoft 365 or Outlook.com account and TypeFlow sends the documents generated from Airtable and your signing invitations from your own Outlook address. Recipients see your name and address, and the emails appear in your Outlook Sent Items.

Overview

By default, TypeFlow sends emails from noreply@typeflow.us (documents) and signatures@typeflow.us (e-signature). Connecting Outlook replaces that sender with your own address for:

  • Send Email - the email with the generated PDF attached
  • E-signature emails - invitations, reminders, completion and update emails

Outlook works exactly like the Gmail connection: same Send via options, same fallback, same team and personal scopes.

How to Connect Outlook

  1. Open your flow and go to the Actions tab
  2. Open the email settings where you want your own address:
    • Send Email (Pro plan): Send via is at the top of the settings
    • E-Signature (Enterprise plan): set the delivery to Email, then check Email Customization. Send via appears below it
  3. Under Send via, find the Your Gmail or Outlook option
  4. Click Outlook (or + Connect Outlook if a Gmail account is already connected)
  5. Sign in with your Microsoft account and accept the permissions

TypeFlow asks for two permissions: send email as you, and read your basic profile (name and email address). It cannot read your inbox.

Once connected, the card shows the Outlook logo and your address, and Your Gmail or Outlook is selected.

Admin Approval

Some organizations only let administrators approve new apps. If Microsoft shows Need admin approval, TypeFlow displays:

Your Microsoft 365 administrator needs to approve TypeFlow before you can connect Outlook.

Your administrator approves TypeFlow once for the whole organization (Microsoft guide to granting admin consent). After that, everyone in it can connect their Outlook account.

Gmail and Outlook Together

You can connect Gmail and Outlook accounts in the same workspace. When several accounts are connected, a dropdown lets you pick the sender, each address labeled (Gmail) or (Outlook).

With From Airtable field, the sender email in each record can match any connected Gmail or Outlook account. See Dynamic Mode for the setup and the failure policy.

Connecting more than one Outlook account in the same workspace requires the Enterprise plan.

What Gets Sent from Outlook

  • New e-signature sessions send every email from the connected account.
  • Sessions created before you connected Outlook keep their original sender for their later emails, such as update notifications.
  • PDFs larger than about 3.5 MB are sent from the TypeFlow address. Microsoft limits the size of one email sent through its API.
  • If Outlook fails (account disconnected, password changed), the email goes out from the TypeFlow address and you are notified so you can reconnect.
